Request a User Group for Survey Sharing.
Objective
- Work collaboratively on the same survey.
- Understand user rights and permissions in LimeSurvey.
- Know the specific steps to follow on the ULB shared platform.
1. Share a survey - ULB-specific context
On the ULB LimeSurvey platform, users are not global administrators. Here are the specificities of this configuration:
- You cannot create user groups by yourself.
- The ULB super admin (web unit team) centralizes this management for security and consistency reasons.
2. Request collaboration access
If you wish to share a survey with other users, follow these steps.
Request procedure
- Fill out the form in the section (survey sharing)
- Specify the following information in your message: your ULB LimeSurvey identifier (ULBid), the name or identifier of the survey you wish to share, the users you want to collaborate with (first name, last name and if possible ULBid).
- Wait for confirmation from the ULB LimeSurvey team.
Actions performed by the ULB LimeSurvey team
The team will proceed with the following actions:
- Create a user group in your name (based on your ULBid).
- Add the relevant ULB users to the group (they must be in the same LimeSurvey instance and have a LimeSurvey ULB user account).
Note: External users outside ULB or belonging to another LimeSurvey instance cannot be added to your group.
3. Manage permissions for the created group
Once the group is created, you become the group manager and you can assign specific permissions to your surveys for group members.
Grant rights to a survey
- Open your survey in LimeSurvey.
- In the left menu, click on "Settings > Users".
- Click on "Set permissions".
- Select a user who is a member of your group or the entire group.
- Define the specific permissions you wish to grant.
Available permission types

| Activate | Activate or deactivate the survey |

| Invitations | Manage participants and send invitations |
| Delete | Delete the survey |
Tip: The delete permission should be granted with caution. Favor read and update permissions for most collaborators.
4. Limitations as a standard user
As a standard user of the ULB LimeSurvey platform, you cannot perform the following actions:
- Create new LimeSurvey accounts.
- Directly add users to the instance.
- Create a user group by yourself.
- Modify the instance global settings.

5. Collaboration best practices
- Use a clear and descriptive survey name (example: "Student Satisfaction Survey - Service X").
- Request a single shared group if you collaborate on multiple surveys with the same people.
- Define permissions appropriate to each collaborator's role.
- Communicate regularly with your team about changes made to the survey.
